What ABM does — on one real company
Twelve points, in the order in which they come up in daily work: what you may expect once we keep your company's books in ABM. None of it has to be set up before the first time you need it.
- The bank inside the books. The statement comes into ABM as camt.053 from your e-banking — no retyping and no text recognition: the format is already structure, and the figures stay the bank's own. Before anything is posted, ABM checks the statement against itself — sum of movements = closing balance minus opening balance; if that does not come out, the statement waits instead of running half-way into the books. After that the movements are payments and meet your debtors and creditors. A PDF statement is read as well; automatic delivery straight from the bank — EBICS or a bank interface — is in preparation.
- Outgoing invoices from ABM. An invoice issued in ABM stands in the journal and in the debtors list at the same moment: you see at once what is open, what is paid and what is overdue — with nobody entering anything afterwards. As a print-ready PDF with the Swiss QR-bill, in the recipient's language.
- Incoming invoices. Invoices you receive digitally you forward to your company's intake address; paper you put into the ABM Courier, which sends the scan to ABM by itself. As a rule a document is booked within one to two working days; and if one lies longer than that, ABM says so on its own rather than waiting for somebody to notice.
- Paying out of ABM. Approved supplier invoices ABM gathers into one payment file (pain.001, XML) which you release in your e-banking: one signature for many invoices. If the same invoice goes into a file a second time, ABM warns — and does not forbid it: you see the duplicate before the bank does.
- Personal cash books. For every person who advances expenses out of their own pocket or on a private card, ABM keeps a cash book of their own: photograph the receipt — from the phone as well — and the entry is born with its account, its VAT and the company's debt towards that person.
- VAT. Out of invoices and receipts handed over in time and the invoices issued in ABM, the return is ready on time — as a PDF to check and in the eCH-0217 format to file, on the effective method as on the flat tax rate.
- Closings at a click. Balance sheet and income statement as a print-ready PDF to sign, in the language you choose.
- The CFO's view. A cockpit shows the open debtors and creditors together with what is overdue; payments that belong to no invoice yet; documents that have arrived but are not in the books yet; revenue and gross margin. It is not computed at quarter end — it is there as soon as the entry is made.
- Cost and profit centres. Every entry carries its cost or profit centre: set when it is booked, correctable at any time afterwards. The dimension is therefore born with the document and does not have to be reconstructed at the closing — which is the moment it can no longer be reconstructed.
- The document on the entry. Every entry and every bank movement carries its document — down to the page of the PDF it sits on. You see the entry and, with one click, its source; and that is at the same time the retention the law asks for.
- Four languages — not just the interface. The description of every entry, every receipt, every incoming and outgoing invoice, and with them tasks, cases and reports exist in German, French, Italian and English. Each member of the team reads in their own language, and the auditor checks in theirs.
- Branches and further companies. If we keep the books for your branches or affiliated companies too, everything sits in one place — the whole bookkeeping, all documents, all companies — and it is always with you: in the browser, with nothing to install.
The bottom line: through ABM — Arvut Business Management — you get not only the bookkeeping, but the function of a CFO and the administrative work along with it.
In development: Q-Docs, a module for all the other documents of the company — contracts, minutes, certificates, official letters, correspondence — with search and retention in the same place where the books already live. Without a date, for as long as it is not finished.
